Aspective cuts red tape by going into Orbit

Aspective, the UK-based e-business solutions provider, is reducing administrative time and costs by using the new on-line benefits system from Orbit Benefits. Since adopting the on-line service in March 2002, administration and paperwork in HR and accounts departments has been reduced substantially, leading to more efficient working practices. The collation of data into the on-line system, accessible by administrative personnel and employees alike, provides a self-service approach to benefits administration enabling realtime updates.

With no need for paperwork and manual inputting of data by HR staff, internal processes have been streamlined so that information from the company's 200 staff in four European countries is available in an instant. The single point of access also improves the generation of accounting documentation, including P11D tax returns, which can now be produced automatically from the on-line records.

The simple user interface and self-service capability of the system have been well received by both administrators and employees. Jo Nash, Vice President of Human Resources at Aspective, emphasises the win-win nature of the service, with both company and employees benefiting from increased flexibility and control. Employees can now access all their benefits information online, meaning that actions and changes can be processed rapidly, avoiding the complications and costs associated with delays. The inclusion of TIMA, an interactive pensions calculator, allows employees to take much greater control over their pension planning.

This has led to employees showing a greater appreciation of the value of their company-sponsored benefits, and the more active involvement is stimulating a culture of personal financial responsibility.

The privacy and confidentiality of the system, which is password protected and only accessible by authorised personnel, is also valued by staff who no longer have to approach their colleagues about sensitive financial issues.

Before migrating to the new on-line service, Aspective had been using Orbit as its benefits supplier since March 2000. The system was introduced with minimum disruption within four weeks of the initial agreement, with full training given to both employees and administrators. Ms Nash says that the uncomplicated user interface and the familiarity of staff to other on-line technologies have encouraged a company-wide take-up of the system.
